A DOCUMENTED ACCEPTANCE PLAN
Reports are useful when they answer a defined acceptance question.
Send a legible drawing with critical dimensions and functional datums. Identify any characteristics that require a particular measurement method or sampling plan.
List the documents you need with the quote request. Material certificates, first-article formats and customer-specific quality packages require confirmation against the project scope.

Make the affected part, feature and evidence clear so the next action can be assessed.
Reference the order, part number and revision. Provide measurements or photos showing the issue and the expected requirement.
Discuss whether the part requires rework, replacement or an approved deviation. Avoid changing a drawing merely to hide a failed requirement.
